Do you access data on the move? How to make the most of OneDrive
Life will become a lot easier using Office 365/OneDrive. A common scenario is when you’re working in the office all day on a document and you save it to your office computer and then log off. When you arrive home, you realise that you should have emailed the document to your customer by the end of the day. Now you have to contemplate, driving back into the office to send the document or disappoint the customer.
What you need to know about OneDrive
OneDrive comes with the option to save, edit, and share your photos, videos, and files wherever you go. If you don’t have an Microsoft 365 subscription, the good news is that you still get 15GB of free mailbox storage for your Outlook.com emails, contacts and calendar items. You will also receive 5GB of free cloud storage for your email attachments, files and photos in OneDrive. What’s not to like about Office365/OneDrive!
If you do have an existing Office 365 subscription? why not synchronise your computer Desktop, My Documents and Pictures to OneDrive. This is so that you can always access your latest documents. This will also help;
- Ensure you can access your data from any internet connected device (iPhone, Android, Windows, Mac) allowing you to make the most of your investment into mobile devices such as phones or tablets
- Back up your data to OneDrive to avoid data loss if your computer were fails or is stolen
- Be more productive when your out of the office
- It is very easy to synchronise your data
Let’s Sync Office 365/OneDrive
OneDrive synching allows you to access your documents and synch them from anywhere and at any time and here’s how;
By selecting the start menu on your machine and typing in “OneDrive” in the search box you should be able to select the “OneDrive App.” Sign in with your work account details and follow the instructions given to allow the setup to complete. Then you will be able to open file explorer to see your files synching. Another little tip to know that your files are now synching once setup is complete is to look out for a little green circled tick by the side of them. You’re now good to go!
Now let’s select specific files and folders that we want to turn the sync on and off for.
From your computer right click on the blue cloud OneDrive icon on the Taskbar tray
Click settings > Account tab> choose the Folders link.
Check the folders you would like to automatically update between your devices and then click okay.
From your settings option again you can click “Sync and backup > Mange backup”.
You will be able to see documents, pictures and your desktop. You just need to scroll across the blue toggle bars to turn backups on and off.
